Vistance is recruiting an Office Administrator to join our team based in Hyderabad!
We are seeking a highly organised and dependable Office Administrator to oversee daily office operations and ensure the smooth functioning of administrative activities. The ideal candidate will have strong coordination skills, attention to detail, and the ability to manage multiple responsibilities efficiently.
How You'll Help Us Connect the World:
Office Operations Management
- Ensure smooth day-to-day office functioning and administrative activities
- Maintain office supplies inventory and place orders when necessary
- Coordinate housekeeping, maintenance, and facility management activities
- Manage office layout and seating arrangements
Administrative Support
- Handle documentation, filing, and record-keeping (physical & digital)
- Support the leadership/team with administrative tasks and coordination
- Prepare reports, presentations, and MIS as required
- Manage incoming and outgoing correspondence (emails, couriers, calls)
- Responsible for managing PO management and invoice processing
Vendor & Facility Management
- Coordinate with vendors for services like housekeeping, office supplies, travel, and maintenance
- Negotiate pricing and ensure timely service delivery
- Track vendor payments and maintain records
Employee Support & Coordination
- Assist with onboarding logistics (workspace, ID cards, office access)
- Coordinate employee travel, accommodation, and meeting arrangements
- Manage conference rooms and office calendars
Compliance & Administration
- Ensure office policies and procedures are followed
- Maintain statutory records and support audits if required
- Handle petty cash and basic expense tracking
Required Qualifications for Consideration:
- Include demonstrated competencies and physical, mental, & interpersonal skills.
- Minimum 8+ years of experience in office administration
- Proven experience in managing office operations and facilities
- Experience in a corporate environment preferred
- Experience in handling mid-to-large office setups
- Basic knowledge of budgeting and expense tracking
- Strong coordination and stakeholder management skills
- Strong organisational and multitasking abilities
- Excellent communication and interpersonal skills
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook), SAP Ariba, Reporting
- Good coordination and vendor management skills
