Backlog Management Team — Scope

The Backlog Management Team ensures the strategic and efficient fulfillment of the enterprise order backlog—all customer orders that have been promised but not yet shipped. In an environment where supply, capacity, and business priorities change frequently, the team optimizes how scarce supply is allocated to demand to maximize service performance, revenue realization, and customer satisfaction.

The team provides clear backlog status updates and fulfillment decisions to Customer Service and Sales, who own all external customer-facing communication.

Core Scope & Responsibilities

1. Strategic Backlog Fulfillment

  • Prioritize and fulfill the order backlog to align with business goals.
  • Ensure the most critical orders are executed first when supply is constrained.
  • Support achievement of OTIF/OTP service targets.

2. End-to-End Order Lifecycle Oversight (Entry → Ship Complete)

  • Monitor and manage orders through the full lifecycle from order entry to shipment readiness.
  • Resolve issues such as holds, missing data, or incorrect order lines.
  • Enable smooth handoff to outbound logistics for pick/pack/ship execution.

3. Fulfillment Prioritization & Rules Management

  • Apply business-defined criteria such as:
    • FIFO
    • Requested delivery date
    • Customer importance
    • Business/program commitments
  • Ensure consistent, transparent application of prioritization rules.

4. Allocation, Rescheduling & Partial Fulfillment Management

  • Allocate constrained finished goods supply to the highest-value demands.
  • Reschedule orders when supply, capacity, or priorities shift.
  • Determine when partial shipments are appropriate to meet service goals.
  • Ensure all order scheduling is in alignment with the current supply plan.

5. Cross-Functional Coordination & Escalation Leadership

  • Lead internal alignment across PLM, Sales, Logistics, Finance, Supply Planning, and Demand Planning.
  • Serve as the internal escalation point for issues impacting order fulfillment.
  • Provide clear status, risks, constraints, and recovery actions.

6. Backlog Visibility, Reporting & Performance Management

  • Maintain transparent Customer & Regional focused reporting on backlog status, constraints, recovery timing, and fulfillment performance.
  • Track and communicate drivers of OTIF/OTP performance. (Past Due)
  • Provide daily/weekly backlog signals to Customer Service, Sales, and Supply Chain leadership.

7. Order Integrity & Master Data Support

  • Maintain accuracy of order details through SO/PO updates and corrections.
  • Ensure order integrity needed for reliable ATP/aATP results.
  • Prevent delays caused by incorrect, incomplete, or blocked order lines.

8. Product Lifecycle Execution Support (NPI & EOL)

  • Align backlog actions with product lifecycle transitions.
  • Execute NPI cutovers and EOL run-out strategies within the backlog.
  • Support substitution strategies when relevant.

9. Strategic Pack Release Oversight

  • Determine when prioritized orders should be released for picking/packing.
  • Coordinate with Logistics to ensure release timing aligns with operational capacity and business priorities.

Systems in Scope

  • SAP S/4 CRM – order management, backlog visibility, transactional updates
  • ATP & aATP – availability checks, allocation logic, promise behavior

Primary Interfaces (Internal Communication Lines)

  • Customer Service – receives status & backlog decisions; owns customer communication
